1. Overview
Eira is a voice-first business management application designed for rental and inventory-based businesses. It helps authorized business users manage customers, bookings, inventory, dispatches, returns, payments, operational records, and related business workflows.
Where a business uses Eira to manage information about its own customers, staff, bookings, and operations, that business is responsible for having an appropriate legal basis and authority to enter and process that information.
2. Information we collect and process
Depending on the features you use, Eira may process the following categories of information:
Account informationName, business name, role, login/session information, and contact details.

Eira is intended to process business operational information. Users should avoid entering sensitive information that is not necessary for the relevant business workflow.
3. App permissions and device access
Microphone
Eira may request microphone access when you use voice features. Audio is used to transcribe your spoken request, understand the requested business action, and prepare a structured result for you to review. Eira does not require continuous microphone access when you are not actively using a voice feature.
Camera and photos
If you choose features involving inventory images, proof of damage, missing-item evidence, documents, or other visual records, Eira may request access to your camera or photo library. Access is used only to let you capture or select the content required for the feature you requested.
Files and storage
Eira may access files that you explicitly choose for upload or download, such as business documents, generated PDFs, or supporting records.
Permissions are requested when required for a feature. You can manage Android permissions at any time through your device settings, although disabling a permission may prevent the related Eira feature from working.

Information may be processed by service providers that help us operate Eira, such as cloud hosting and infrastructure providers, speech transcription and AI-processing providers, storage/database/security providers, communications providers where applicable, and technical monitoring or diagnostics providers where enabled.
These providers may process information only as needed to provide their services to us and subject to applicable contractual and security obligations.
We may also disclose information when required by law, regulation, legal process, or a valid governmental request, or when necessary to protect the rights, security, and integrity of Eira, our users, or others.

We retain account and business records for as long as they are needed to provide Eira, maintain legitimate business records, meet contractual or legal requirements, resolve disputes, prevent fraud, and protect the service.
Voice recordings may be transmitted and temporarily retained as necessary for transcription, command processing, security, or troubleshooting. Generated transcripts and structured business records may remain as part of the business's Eira records.
When information is no longer required, we take reasonable steps to delete, anonymize, or securely dispose of it, subject to backup cycles and legal retention obligations.
8. Your choices and rights
Subject to applicable law and your relationship with the business account using Eira, you may request access, correction, or deletion of personal information associated with your account.
Business users can also control what information they enter into Eira and which permissions they grant to the app. Some operational records may need to be retained for legitimate business, accounting, security, or legal purposes.
9. Account and data deletion
You may request deletion of your Eira account and associated personal data by contacting us using the privacy contact below. Please include enough information for us to identify the relevant account and business.
We may need to verify the request before deletion.
